How to prepare a PDF for an online upload portal

A practical checklist for reducing PDF errors before uploading documents to school, work, banking, insurance, government, or application portals.

This guide is for users who already have a PDF but need it to pass a portal's size, format, readability, and naming requirements.

Read the portal requirements first

Most upload problems start with a mismatch between the document and the portal rules. Check the accepted file type, maximum file size, page count, and whether the portal expects one combined PDF or separate documents.

If the portal asks for a PDF, avoid uploading screenshots or photos directly unless it specifically allows image files. Convert images to a PDF first, then review the final document before submission.

Make the file easy to review

Use a clear filename with the document type and date, such as application-form-2026.pdf or receipts-april.pdf. Avoid special characters when possible because some older portals reject them.

Open the PDF locally and check that pages are upright, complete, and in the expected order. If pages are missing or duplicated, fix the source file before compressing or submitting it.

Control file size without hiding detail

If the PDF is too large, remove unused pages before compression. Compressing a cleaner source file usually gives a better result than forcing a large document through repeated compression attempts.

After compression, zoom in on signatures, totals, small text, and stamps. A smaller file is only useful if the receiving person can still read the information.

Keep a clean record

Save the original file and the submitted version separately. If a portal later asks for a clearer copy, you will still have the original document available.

Do not upload documents you are not allowed to process online. For workplace, medical, legal, or financial records, follow the policy that applies to those files.
